Human Resources Coordinator
Reports to: Director of School
Interfaces with: Director, Business Manager, Principals, Faculty, Staff
Job Goal: Is the primary contact for all employees. Coordinates housing and administers other
benefits for employees. Oversees new teacher orientation. Supports selection, recruitment,
retention and support for all Colegio Maya staff positions, including maintaining complete and
accurate files for all positions. Coordinates coverage for absences, manages substitute teachers.
Qualifications and Experience Required:
● Bachelor’s degree, preferably in Human Resources or Industrial Psychology
● Bilingual in English and Spanish
● HR experience, preferably in an educational setting
● Experience working with different national and international personnel
● Ability to multitask, strong interpersonal communication skills, flexibility, ability to set
goals and follow through, ability to self-manage
● Ability to set up and manage effective systems regarding support of school groups
● Experience dealing with issues and information of a highly confidential and sensitive
nature
● Ability and experience in creating relationships with third party providers
● IT and Google Apps literacy
Performance Responsibilities
Recruitment and Selection
● Ensure the school’s recruitment strategies, policies and practices are efficient and
effective.
o Job descriptions and job ads
o Presence in search engines
o Communicating through search engines
● Oversee the HR administration of recruitment
Hiring and Transition
● Coordinate the information package for new hires
● Communicate with new hires prior to move in dates covering any logistical concerns
● Support and help coordinate orientation activities for new staff
● Oversee new employee processing, health benefits, and compensation
● Oversee personal transition of new foreign hires
o i.e. luggage, pets, preschools, shipments, NIT
● Oversee processing of foreign teacher residency visas
o Clear communication with new hires regarding all documents needed in an
efficient time sensitive manner
o Act as liaison between teacher and immigration lawyer, managing all influx of
paperwork and required documentations
o Record and track residency timelines and process extension and or renewals as
needed
Communication and Documentation of Personnel
● Maintain the school’s HR database and personnel files keeping them current
● Draft documentation for employee procedures including new hire paperwork, changes in
contract
● Prepare contracts, agreements and termination letters
● Organize and maintain sensitive employee information
● Record staff and/or administration conflicts or violations to policy
● Serve as a resource to promote staff health and wellness
● Provide faculty with necessary paperwork on behalf of the school for personal use
● Proactively identify, develop and implement improvements to systems and procedures
to enhance service efficiency.
Professional Development
● Work with school leadership to enhance professional development for individuals and
groups
Staff Attendance
● Manage and process the procedure for requesting leave (anticipated and unanticipated)
● Track and report all staff absences
● Manage substitute teacher database, including recruitment, assignment, evaluation and
follow up
● Coordinate and facilitate teacher- substitute teacher communication
● Hire substitute teachers
● Coordinate substitute teacher coverage for leaves
